The APA 7 mistakes that cost marks.

2026-06-19 · by Farah El-Amin — M.Ed, writing lead

Reference lists get the attention and the body of the paper loses the points. Citation mechanics, quotation handling, heading levels and the language rules are all graded, all fixable in one pass, and almost never taught directly.

Narrative and parenthetical are two different sentences

A narrative citation puts the author inside the sentence with the year immediately after the name. A parenthetical citation puts both at the end, inside one set of parentheses, before the period. Mixing the two forms inside a single sentence is the most frequent mechanical error in student writing, and it is visible at a glance.

A simple rule follows. Decide what the subject of the sentence is. If the researcher is the subject, cite narratively. If the finding is the subject, cite parenthetically. Applying that consistently also fixes a writing problem, because it forces each sentence to declare what it is actually about.

Five errors in the body of the paper

These five account for most of the marks lost on a returned draft.

Headings are structure, not decoration

APA heading levels carry fixed formatting and a fixed logic. You cannot use a lower level without the one above it, and a single subheading never stands alone under a heading. Papers lose organization points for headings that look like a table of contents without describing a hierarchy.

The practical version is to build the heading structure before writing, from the assignment's criteria, and then never add a level for emphasis. A heading is a promise that a section exists underneath it, and readers who follow that promise into a single paragraph stop trusting the rest.

The language rules that get graded

APA 7 is explicit about bias-free language, and in nursing, education and psychology courses that section is scored rather than assumed. Describe people rather than labeling them by a condition. Use the specific term a group uses for itself. Keep comparisons parallel, so that one group is not quietly treated as the default against which the others are described.

Two more habits belong here. Past tense for what researchers did and found, present tense for what is generally accepted. And the singular they, which the style accepts, in place of the contortions students use to avoid it.

None of this is fussiness for its own sake. In these fields the wording carries part of the clinical or educational judgment being assessed, which is why the row exists on the rubric at all.

The pass that finds the rest

Fifteen minutes at the end, done in this order.

Where a paper is already written and the citation work is the part you cannot face, that is the narrowest job you can hand to somebody else, and it is usually where editing a paper begins.

Questions

Do I need a page number when I paraphrase?

Not required, and often welcome. The style asks for a location on direct quotations and encourages one on a paraphrase where it would help a reader find the passage in a long work. In practice, adding it for a specific claim from a book or report costs nothing and makes the citation checkable, which is what a grader is really testing.

How do I cite a clinical guideline or an organizational report?

The organization is the author. Where the organization is also the publisher, name it once in the author position and do not repeat it in the source position. Include the year of the version you used and a working link. Guidelines get revised, so cite the edition you actually read rather than the one a classmate cited last term.

Is first person allowed in APA 7?

Yes, and it is preferred over the awkward alternatives. Write I when describing what you did, and we only where others were genuinely involved. The manual specifically discourages referring to yourself in the third person. Course policies sometimes override this, so check the assignment before switching, because the instructor's instruction governs.

How many heading levels should a student paper use?

As many as the structure genuinely needs, which for most course papers is two. Level one for main sections, level two for subsections, used only where more than one subsection exists. A third level in a five-page paper makes the document harder to navigate rather than easier, and organization rows on rubrics reward navigability.

Which rules do I follow when sources disagree?

Follow the manual your course names, and follow the course template wherever it differs. Style guidance published online is often written against an older edition, and requirements for student papers differ from those for published articles. Where a template and a website conflict, the template wins, because the template is what your grader is holding.
