The review category sets your timeline
Before anything is written, a study is placed. Work carrying no more than everyday risk in ordinary settings is often eligible for the exempt route. Minimal-risk work that does not qualify there is usually reviewed by one or two members rather than the whole board. Anything above minimal risk, or involving populations who need extra protection, goes to a convened meeting on the board's own calendar.
That placement decides how long you wait, so guessing at it is expensive. Claim a lighter category than the design supports and the application comes back reclassified, weeks later. A specialist reads the design first, places it honestly, and tells you what each route would cost in time.
Six answers a board checks first
Reviewers are working through a form, not judging your intellect. These are the fields that generate most returns, and each of them wants something concrete rather than reassuring.
- The purpose, in one plain sentence a non-specialist reviewer can follow
- Recruitment: who, approached how, and told what before they agree
- Consent: where it happens, who takes it, how it is documented, and the reading level of the form
- Risk: named specifically, with what is done about each one and who a participant can contact
- Data: where it lives, who has access, how identifiers are handled, when it is destroyed
- Anything offered for taking part, and why the amount does not pressure anyone
The response memo closes the letter
Nearly every protocol is returned at least once, and the letter is a list of conditions rather than a verdict. What returns fastest is a resubmission carrying two documents: the revised protocol, and a short memo answering each numbered point in the board's own order, saying what changed and where it now sits.
That memo is doing real work. Questions
Will the board approve it?
Nobody outside the board can say, and any service claiming otherwise is describing something it does not control. What preparation changes is the number of readings your study needs before a decision, which is where the weeks actually go. A packet written on the board's own form, internally consistent and specific in the fields reviewers check, usually shortens that considerably.
Which review category is my study?
That is assessed from the design rather than from the degree you are doing. Anonymous surveys of adults on non-sensitive topics often sit at the lighter end. Interviews touching health, employment or immigration status usually do not. Studies with children, prisoners, patients or people your own institution has authority over generally need the fullest review. The reading that places it costs nothing.
Do you write consent forms and instruments?
Yes, and they are built alongside the protocol so the three agree. A consent form cannot promise something the protocol does not describe, and an instrument cannot collect a variable the protocol never mentioned. Recruitment materials are matched word for word to what was approved. Boards return submissions where these documents contradict each other more often than for any ethical concern.
Do I need CITI training completed first?
Almost certainly, and boards check it. Human subjects training records must be current for everyone named on the study, including a chair or co-investigator, and an otherwise complete packet will sit unread if a certificate has expired. Check the dates before submitting rather than after. The requirement is quick to satisfy and a slow thing to discover you missed.
Can you answer a revision letter only?
Yes. Send the letter, the submitted protocol and any supporting documents, and the response goes back as a revised packet plus a memo addressing each numbered condition in order. That is a common request from candidates who wrote the original application themselves. It is scoped and priced on its own, and nothing about the rest of the study has to come with it.
