A preceptor your program will actually approve
Finding somebody willing is the part students focus on. Finding somebody eligible is the part that sends people back to the start in week four, usually after the clinician has already said yes and everyone has grown attached to the plan.
So eligibility is checked before anybody is approached. Every school publishes its own conditions and they are stricter than most students expect.

- Enough time in independent practice, where the program sets a minimum
- No family relationship, and usually no direct employment supervision of you
- Capacity for the hours in the weeks your term actually runs

The person who says yes is not the person who signs
An affiliation agreement is a contract between your university and an organization, and the clinician who agreed to teach you rarely has authority to sign it. It goes to an administrator, a legal review or a corporate office, and that is where placements quietly stall.
So each document is sent in whichever sequence releases the one behind it, addressed to whoever can actually act, and then followed until it moves. Immunization records, background checks, insurance certificates and orientation requirements are collected in parallel rather than discovered one at a time. None of this is difficult. It is relentless, and it lands on evenings you had already spent.
Hours only count if the record says so
A rotation is audited at the end, sometimes long after it finished. What is checked is not your memory but the log: dates, hours, site, supervising clinician and the activity performed, entered as it happened rather than reconstructed in one sitting the week before graduation.
So entries are kept current in whatever system your program uses, including Meditrek, and the end-of-rotation evaluation is collected while your preceptor still remembers you clearly. We do not record hours that were not worked, which is stated at the quote stage rather than left to be assumed.
Where the network reaches, and where it does not
The search starts from practices, clinics and facilities that already take students, filtered by your specialty, your required hours, your dates and your state, and approaches them with your university's requirements already assembled. That is a different task from writing to every clinic within an hour's drive.
Coverage runs across all fifty states, and honesty about it runs first. A family practice rotation in a metropolitan area tends to move fast. How long does a placement take to arrange?
Specialty and geography decide it far more than effort does. Family practice in or near a city often moves in weeks. What you receive is a timeline built from your own hours, requirements and state, plus an honest refusal where the network cannot reach.
What if I already have a preceptor?
Then the engagement is the paperwork, which is often the harder half. Eligibility is checked against your school's published conditions first, then the affiliation agreement is driven between your university and whoever actually has authority to sign it, with the credential file, clearances and hour logs kept current alongside. Plenty of students arrive with a name and no idea what happens next.
My site pulled out mid-rotation. What now?
Tell us immediately, because the cost of a collapsed rotation is mostly the delay in approving the replacement. The search restarts at once against the hours you have already banked, and the documents are rebuilt in the same order. This is why an alternate site is named at the beginning, while nothing is urgent, and why it costs nothing if it is never used.
Do you log my hours for me?
Entries are kept current in your program's system as the hours are worked, from what you report, and the end-of-rotation evaluation is collected before your preceptor's memory of you fades. Hours that were not worked are never recorded, and no service should offer that. An audit at graduation reads the log rather than the student, which is the whole reason it is kept properly.
Can I take this without buying coursework help?
Yes, and many students do exactly that. Placement is quoted per rotation after a free intake reading, and nothing about a course has to come with it. The reverse is also common: a term of coursework handed over while the student finds their own site. The two are separate engagements and neither one requires the other.
